What Is an Acknowledgment Receipt?

An Acknowledgment Receipt is a written document signed by the recipient confirming that they have received a specific sum of money, a document, or an item from another person. It is one of the simplest yet most important documents in Philippine legal and business practice — creating written evidence of the transaction that protects both parties.

You will also see it spelled Acknowledgement Receipt — the British variant — and, when money changes hands, hear it called a Receipt of Payment, a Cash Receipt, or simply a resibo. All of these names refer to the same document.

Types of Acknowledgment Receipts

  • Payment acknowledgment — confirms receipt of cash, check, or bank transfer for rent, loan, purchase, or professional fee
  • Document acknowledgment — confirms receipt of a specific document (title, passbook, contract, keys)
  • Down payment receipt — acknowledges partial payment and states the balance remaining
  • Security deposit receipt — issued by a lessor to a lessee upon receipt of the security deposit

What Must Be Included

  1. Recipient's name — who is signing to confirm receipt
  2. Description of what was received — cash amount in words and figures; or document name and identifying numbers
  3. Purpose — what the payment or document is for
  4. From whom received — payer's or giver's name
  5. Date and place
  6. Recipient's signature with printed name
  7. Witness line (optional but recommended for significant amounts)

Frequently Asked Questions

What is an Acknowledgment Receipt in the Philippines?
An Acknowledgment Receipt is a written document signed by the recipient confirming that they have received a specific payment, document, or item from the giver. It serves as proof of receipt and is one of the most common documents in Philippine business and notarial practice.
Does an Acknowledgment Receipt need to be notarized?
Not necessarily. A simple signed Acknowledgment Receipt is valid as a private document and admissible as evidence. Notarization converts it to a public document, which carries stronger evidentiary weight. For significant payments or documents, notarization is advisable.
What is the difference between an Acknowledgment Receipt and an Official Receipt?
An Official Receipt is a BIR-registered sales document issued by businesses for payments received — it is a tax document. An Acknowledgment Receipt is a private document acknowledging receipt of anything (money, documents, goods) without BIR registration requirements. For taxable transactions, businesses must issue an Official Receipt; the Acknowledgment Receipt supplements but does not replace it.
Can an Acknowledgment Receipt be used as proof of payment in court?
Yes. A signed Acknowledgment Receipt is admissible evidence of payment in Philippine courts. Its weight depends on whether it is notarized (public document, presumed authentic) or unnotarized (private document, authenticity must be proved). Courts generally give Acknowledgment Receipts significant evidentiary value when they are specific, signed, and dated.
What should an Acknowledgment Receipt always include?
At minimum: (1) name of recipient; (2) description of what was received (amount in words and figures for cash, or description of documents/items); (3) name of the person from whom it was received; (4) date and place of receipt; (5) signature of the recipient. For payments, also include the purpose of the payment.
Is an Acknowledgement Receipt the same as an Acknowledgment Receipt?
Yes — they are the same document. "Acknowledgement" is simply the British spelling and "acknowledgment" the American one; Philippine usage mixes both freely. When it covers money, the document is also informally called a Receipt of Payment, a Cash Receipt, or simply a resibo. Legalia's generator produces this same Acknowledgment Receipt, whichever spelling you searched for.
