What Is the Notary Block & How to Set It Up

The Notary Block is a field at the end of notarized documents that prints your commission details — jurisdiction, commission number, expiry date, roll number, PTR, and IBP. Instead of using a rubber stamp, Legalia saves these details once in your Settings, then automatically includes them on every document you generate. You still sign the document in person and affix your seal; the block is simply the formatted text version of your credentials.

This guide covers what the block prints, how to set it up in less than a minute, how to toggle it on and off per document, and which Legalia plan includes it.

What Is the Notary Block?

The Notary Block is a text field printed at the end of a notarized document, just before the signature line and seal area. It contains:

  • Your jurisdiction (e.g., "Quezon City")
  • Your commission number (e.g., "Comm. No. 12345")
  • Commission expiry date (e.g., "December 31, 2026")
  • Your roll number (notary public registry)
  • Your PTR number (professional tax registration)
  • Your IBP number (Integrated Bar of the Philippines)
  • Your office address (printed as part of the block)

Instead of handwriting or rubber-stamping these details onto each document, Legalia prints them automatically. It is not the notarization itself — you still sign the document and affix your seal in person as required by Philippine law.

Where the Notary Block Appears

The block appears in the acknowledgment or jurat — the formal section at the end of the document where the affiant or signatory acknowledges their signature. For a typical affidavit, it looks like this:

The block formats and aligns your saved details so clients see your complete credentials without a separate stamp.

How to Set It Up

The Notary Block is set up once, in your Settings, and then auto-fills on every document.

Step 1: Open Settings › Firm Profile

In the Legalia dashboard, click Settings (top right) and then Firm Profile.

Step 2: Fill in the Notary Block section

Scroll down to the Notary Block section. Fill in:

  • Your Jurisdiction (the city or area where you are commissioned)
  • Your Commission Number (e.g., Q-54321)
  • Your Commission Expiry Date (when your commission ends)
  • Your Roll Number (from the notary registry)
  • Your PTR Number (professional tax registration)
  • Your IBP Number (bar membership number)

Save once. These details now auto-fill on every document you generate from this point forward.

Step 3: Generate a document

Open any document type — affidavit, contract, deed, etc. — and fill in the form as usual.

Step 4: Toggle "Include Notary Block" on

Near the bottom of the document form, you will see a checkbox labeled "Include Notary Block". Toggle it on. Your saved commission details now appear in the preview panel.

Step 5: Print, export, or sign

The notary block is now part of your document. Print it to paper, export to Word, or copy it — your credentials appear exactly as saved. Sign the document in person and affix your seal as usual.

Can I Turn It Off?

Yes. The "Include Notary Block" toggle is on every document, so you can turn it on or off per document:

  • Turn it OFF if you do not yet have a live commission, or if you prefer to use your own rubber stamp instead.
  • Turn it ON to auto-fill your credentials — no re-typing, no copy-paste, no stamp needed.

The toggle is saved per document, so you can use a mix on different client matters.

Which Plan Includes the Notary Block?

The Notary Block is an All-Access feature, included only on the All-Access (Ultra) plan at ₱999/month.

  • Free — Not included. Notary Block toggle is disabled.
  • Per-document unlocks (₱199 for 30 days) — Not included. Only covers the document content, not the feature.
  • All-Access (Ultra) — Included. Use it on as many documents as you like, every month.

If the Notary Block toggle appears disabled on your document, you are on a plan that does not include it. Click the lock icon next to the toggle to see the upgrade option.

Frequently Asked Questions

Does the Notary Block perform the notarization?
No. The Notary Block is a text field that prints your commission details — it is purely informational. You still sign the document in person and affix your seal. The notarization itself is your act; Legalia does not perform it.
What details does the Notary Block print?
Your jurisdiction (e.g., "Quezon City"), commission number, commission expiry date, roll number, PTR number, IBP number, and office address — all saved once in your Settings. It appears inside the standard acknowledgment or jurat at the end of the document.
Where do I enter my notary commission details?

Yes. Every document has an "Include Notary Block" toggle. Toggle it off to print a clean draft if you do not yet have a live commission, or if you prefer to use your own rubber stamp instead.
I don't have a notary commission yet. Can I still use Legalia?
Yes — just leave the Notary Block off. Or, if you fill in the fields before you have a commission, the toggle will still let you turn it off per document, printing just your signature line and seal area.
